Contacts – Adding and Managing

The Contacts tab is where you manage your customers and suppliers. When you link a contact to a transaction, you can track sales and purchases by customer. A contact is also required for sending invoices.
Adding a new contact
You can add a contact either in advance from the Contacts tab or directly while creating a transaction. Fill in the following details:
Type (required) is either company or private individual. This choice affects which fields are available for the contact.
Name (required) is the contact's name as it appears in the system and on invoices.
Business ID is worth adding for business customers. It makes identification easier and is required for e-invoicing. Based on the Business ID, the app automatically fetches address and e-invoicing details, if available.
Customer number is a self-defined identifier for the contact. It's used especially in CSV imports when contacts are imported or invoiced in bulk.
Phone number is an optional contact detail.
Notes is a free-text field for your own notes. These are not shown on invoices.
Activating invoicing
If you want to send invoices to a contact, turn on "Activate invoicing." Then fill in the billing details:
Email — invoices are sent to this address
Street address, postal code, city, and country — shown on the invoice as the billing address
Invoice language — Finnish or English
If the contact is a company, also fill in:
E-invoice address and operator ID — needed when the invoice is sent as an e-invoice. You can find the recipient's e-invoice address in, for example, TIEKE's e-invoice address registry
VAT number — needed for intra-EU trade. The VAT number is in the format FI12345678 (Finland) or the corresponding country-specific format
A contact only appears in the recipient list when creating an invoice once invoicing has been activated.
Aliases
You can add aliases, i.e. alternative names, to a contact. These help NoCFO's AI automatically match a bank transaction to the correct contact — useful, for example, if the payer's name on a bank statement differs slightly from the official name.
Importing contacts via CSV
If you have a lot of contacts, you can import them all at once from a CSV file instead of adding them one by one. → See guide: Importing contacts via CSV
