User management and permissions

User management is found under Settings → User management. Here you can see all of the company's users, invite new ones, and manage permissions.

Permissions are defined per area. For each area (bookkeeping, accounts, files, invoicing, contacts, reporting) a user can have view access, edit access, or no access. Edit access for an area also includes view access for that same area.

Inviting a new user

Click New invitation and enter the email address of the person you want to invite. Then choose the permission level.

Permission levels

There are four ready-made levels to choose from, plus a custom option:

Admin — all rights to the company. Grant this permission with care.

Read access — view access to all areas: bookkeeping, accounts, files, invoices and products, contacts, and reporting. No editing rights. The user can still download reports and comment in the transaction log.

Bookkeeping — view and edit bookkeeping transactions and contacts, view accounts and reporting, and view and edit files. Also includes the right to add transaction attachments.

Billing — view and edit invoices, products, and contacts.

Custom — build a permission set by freely choosing individual permissions. If a permission is not selected, the user has neither view nor edit access for that area (leaving permissions unchecked no longer means read-only access).

Admin

All rights to the company. Be careful who you grant this to!

Bookkeeping view

Right to view transactions, vouchers, tags, and attachments, including dashboard financials. Does not include creating, editing, or deleting anything.

Bookkeeping admin

All bookkeeping rights, including bookkeeping-related settings such as account selection.

Bookkeeping editing

Right to create, edit, and delete bookkeeping transactions. Right to edit transaction attachments and upload new ones. All rights for tags. Does not include changing a transaction's lock status.

Bookkeeping attachments

Right to add attachments to a transaction and remove attachments from drafts. Includes uploading attachments, but not deleting or editing them.

Account view

Right to view accounts, balances, and balance forecasts.

Account editing

Right to edit, create, and delete accounts.

File view

Right to view and download files.

File editing

Right to add, edit, and delete files.

Invoice and product view

Right to view sales invoices, purchase invoices, and products.

Billing admin

All invoice-related actions, plus enabling and disabling e-invoicing.

Invoice and product editing

Right to create, edit, and delete sales invoices, purchase invoices, and products. Includes uploading attachments, but not editing or deleting them.

Contact view

Right to view contacts.

Contact editing

Right to create, edit, and delete contacts. Automatic contact creation when approving a transaction is not covered by this restriction.

Reporting view

Right to view VAT periods, financial years, and reports.

Reporting admin

Right to create, edit, and delete VAT periods and financial years. The user can also edit reporting settings, such as retrieving the Finnish Tax Administration certificate.

Reporting editing

Right to create, edit, and delete VAT periods and financial years.

Payroll

Right to use payroll.

Connections

Right to create and remove integrations such as a bank or Holvi connection.

If a user cannot see a page

If a user cannot open an area (for example reports, contacts, or bookkeeping), check their permissions under Settings → User management.

  • Grant the needed view permission for that area, or

  • choose the Read access preset if the user should see all areas without editing.

Edit access for the same area also covers viewing it. Permissions do not cross areas: billing rights alone do not grant visibility into bookkeeping or reporting.

Editing and removing a user

You can edit an existing user's permissions using the pencil icon. You can remove a user using the trash can icon.
