A sales invoice is sent in two steps. First you confirm the invoice, which gives it an invoice number and records it in your bookkeeping. Then you choose how the invoice reaches your customer: NoCFO can send it for you, or you can deliver it yourself and mark it as delivered.
Confirming and sending an invoice
Open the invoice draft and check the details.
Click Confirm invoice. The invoice gets an invoice number and the status Confirmed. A confirmed invoice is part of your bookkeeping, so mistakes are corrected afterwards with a credit note.
Open Send invoice and choose the Delivery method.
Fill in the details for the chosen method and click Send. If you chose to deliver the invoice yourself, the button is Mark as delivered.
Until a confirmed invoice has been sent, its status shows Not delivered. After sending, the status is Sent.
Delivery methods
Email sends the invoice as a PDF to the customer's email. The recipient needs an email address. You can edit the email subject and content before sending. You can set a default message in the invoicing settings.
E-invoice sends the invoice directly into a business customer's invoicing system. The recipient needs an e-invoice address and operator ID. Finland only. → See guide: Setting up e-invoicing
E-invoice (bank) sends the invoice to a private person's online bank. Finland only.
Letter and e-invoice delivers the invoice to the customer by post. The recipient needs a postal address. Finland only.
Email + XRechnung sends the invoice by email as a PDF and an XRechnung XML file. Germany only.
Print / send it yourself marks the invoice as sent without NoCFO delivering it. See below for details.
The menu only shows the delivery methods available to your business. If the recipient is missing information the chosen method needs, NoCFO tells you what is missing and points you to complete the contact's details.
Delivering the invoice yourself
Choose Print / send it yourself when you want to hand the invoice to your customer yourself: for example on paper, from your own email or through the customer's portal. This method also works when the contact has no email or postal address.
Choose Print / send it yourself as the delivery method. You don't need to fill in the email fields.
Click Mark as delivered. The invoice status becomes Sent and the delivery method is shown as Print / send it yourself.
Open the invoice PDF from the invoice details with Preview invoice and download any attachments under Attachments. Deliver the invoice and attachments to your customer outside NoCFO.
NoCFO doesn't send the invoice to anyone with this method, and no delivery fee is charged.
Note: Recurring invoices are not sent automatically when the delivery method is Print / send it yourself. A new invoice is still created on schedule, but you need to deliver each invoice and mark it as delivered yourself.
After sending
When the customer pays and the payment comes in through your bank connection, NoCFO marks the invoice as paid. If the invoice is still unpaid after the due date, NoCFO can send payment reminders automatically. → See guide: Payment reminders and automatic debt collection
